A plain-language guide to the AMIC Portal, by role. For every feature it says what it does, why it works that way, and how to use it. Short on time? Jump to the quick cards at the end.
| Role | Signs in with | Can do |
|---|---|---|
| Parent / student | Admission number + PIN | Check and print results, change their PIN |
| Common Entrance applicant | Registration number (no login) | Register, check admission result |
| Class teacher | Staff ID + password | Enter/submit scores, upload their class's photos, change own password |
| Principal / Admin (the office) | Staff ID + password | Everything a teacher can, plus add students, reset PINs, approve and publish, manage staff, review applicants |
Different people should only touch what is theirs. A teacher records scores but cannot publish them — only a principal can. That prevents mistakes and keeps one person accountable for what parents finally see.
Checking a child's result
Check results
Shows the terminal report — scores, grades, position, comments, attendance and photo — and prints it on A4.
It is the one thing every parent needs, so it is the simplest screen in the app: two boxes and a button. Past terms stay viewable forever, and it is built to load even on a weak connection.
- 1Go to amic-portal.pages.dev and tap "Check results" (also on your printed slip).
- 2Enter the admission number (e.g. AMIC/2024/0231) and the PIN.
- 3Tap "View result". If more than one term is available, use the dropdown to switch.
- 4Tap "Print result" to print or save as PDF.
Change your PIN
Lets a signed-in parent swap the PIN for one they'll remember.
The school gives out a random PIN so no two children share one — admission numbers run in order, so a shared PIN would let anyone peek at the next child's report. A forgotten PIN cannot be viewed (a PIN you can look up is not private); the office resets it instead.
- 1After viewing a result, tap "Change PIN".
- 2Enter the current PIN, then the new 4-digit PIN twice.
- 3Tap "Save PIN" and use the new PIN next time.
Common Entrance (new applicants)
Lets a prospective pupil register for the entrance exam and later check whether they were offered admission — no account needed.
Applicants aren't students yet, so they don't get logins — a public registration number is enough. On an offer, an admission number is generated automatically.
- 1Open the Common Entrance page and fill the form (names, sex, date of birth, parent name and phone, previous school, payment).
- 2Note the registration number shown (e.g. AMIC/CE/2026/0047).
- 3After results are released, return and enter it to see "Offered" or "Not offered", and print the offer letter if offered.
Scores and class photos
Enter scores
Record CA1, CA2 and exam marks for a class and subject, then submit them for approval.
Teachers enter, principals publish — so no result reaches a parent without a second pair of eyes. The app warns if a mark is above its maximum (CA 20, CA 20, exam 60), catching typos early.
- 1Dashboard → "Enter scores".
- 2Pick the class, subject and term.
- 3Type each pupil's CA1, CA2 and exam mark — totals and grades compute themselves.
- 4Tap "Submit for approval". Once submitted, the sheet locks.
- 1Tap the upload bar and choose your .xlsx / .csv file.
- 2Review the preview — flagged rows have problems. Confirm the good rows, then submit.
Student photos (your class)
Open a pupil's profile to add or change their passport photo, which then appears on their report card.
Photos are spread across class teachers instead of dumped on one person — you know your ~20 pupils, so it is quick and correct. Only staff can change a photo (parents can view it); you can only manage your own class; photos are stored privately (never a public link) and shrunk automatically to save data.
- 1Dashboard → "My students".
- 2Pupils appear grouped by class, marked "Photo added" or "No photo".
- 3Tap a pupil to open their profile, then "Add photo" / "Change photo".
Change your password
Set a new password after signing in.
Same as parent PINs — you can change your own, but a forgotten one is reset by the principal (never viewable).
- 1On the dashboard top bar, tap "Change password".
- 2Enter the current password, then the new one twice.
Running the school on the portal
Add students
Create a student record and issue that child's login PIN.
The school keeps records on paper, so there is no spreadsheet to import — students are added one at a time. Each gets a unique random PIN, shown once for you to write on their slip; after that only a scrambled version is stored, so even a leaked file cannot reveal PINs.
- 1Dashboard → "Students" → "Add student".
- 2Fill name, sex, class (pick the class to reveal arm/stream), parent name and phone.
- 3Type the admission number, or leave it blank to auto-generate one.
- 4Tap "Add student". Write down the PIN shown — it will not appear again.
Student directory & resetting a lost PIN
Search all students, view a profile, reset a lost PIN, and add or replace any student's photo.
A lost PIN is reset, not looked up — you generate a new one and give it to the parent. This keeps PINs genuinely private: nobody, not even the office, can read an existing one.
- 1Dashboard → "Students" → search by name, admission number or class.
- 2Tap a student to open their profile (details and photo).
- 3"Reset PIN" issues a new one — write it down and give it to the parent.
- 4"Upload/Change photo" sets their passport photo (office override for any class).
Approvals & publishing
Review the score sheets teachers submitted, approve or return them, and publish results so parents can see them.
Publishing is the gate. Nothing is visible to parents until you publish, and once published a sheet locks so it cannot be quietly changed — protecting the official result.
- 1Dashboard → "Approvals".
- 2For each submitted set: "Approve", or "Return" with a reason for the teacher to fix.
- 3When a term's sets are approved, "Publish" the term. Parents can now check results.
Staff & roles
Add staff accounts, set roles, enable/disable accounts, and reset passwords — all in-app.
You never need to open the spreadsheet to manage people. Hand publishing rights to someone by making them a principal. A safeguard stops you removing the last principal, so the school can never lock itself out of publishing.
- 1Dashboard → "Staff & roles".
- 2Add a staff member (name, staff ID, role, a starting password).
- 3Change a role from the dropdown, disable/enable an account, or reset a password inline.
Applicant review (Common Entrance)
List applicants, confirm payments, record entrance scores, and decide Offered / Not offered.
The whole entrance workflow lives in one place. Marking an applicant "Offered" auto-generates their admission number — no manual numbering.
- 1Dashboard → "Applicant review".
- 2Confirm payment, enter the entrance score, then set "Offered" or "Not offered".
